1. Do I need to obtain consent from others before using AI MindClip to record?
Requirements for recording and privacy protection may vary by country, region, and use case. Before recording conversations, meetings, or other content that includes another person’s voice, please inform the relevant participants and obtain their consent when required. If a participant does not consent to being recorded, we recommend not starting or continuing the recording. Users are responsible for ensuring that their use of the product complies with applicable local laws and respects others’ privacy and personal rights.
2. How does AI MindClip protect my privacy and data security?
AI MindClip protects your privacy across the device, app, and cloud layers. 1. Data storage Recording data is stored on the device, in the app locally, and in your personal cloud storage. Transcripts, summaries, and AskAI data are stored locally in the app and in your personal cloud storage. 2. Device privacy protection After recordings are uploaded to the app locally or to the cloud, the local recording files on the device are automatically deleted. If the device is lost, others cannot add or use it, and data cannot be exported through the device port. The Type-C port is for charging only. When the device is unbound, all recordings that have not yet been transferred can be fully cleared to prevent data leakage. 3. App privacy protection All data in the app is stored only on your personal phone locally. 4. Cloud privacy protection Cloud data is stored in your personal cloud account and can only be accessed by you. Personal cloud data is deployed on Amazon Web Services, with strict access control. When your account is deleted, your personal cloud data can be fully removed. AI MindClip has passed strict privacy and data security certifications, including EN18031, ISO 27001, and ISO 27701. *All data will not be used for any model training.
3. Is there a recommended recording notice?
Yes. We recommend providing a clear multilingual notice before recording and explicitly telling participants that “recording is in progress and AI will be used for transcription or summarization,” then asking whether they agree to participate. Example notice: English: “Is it okay if I use AI MindClip to record this and help me take notes?” These sample notices are provided for reference only. Legal requirements may vary by country, region, and specific situation. We recommend adapting the notice to your actual circumstances and location.
4. What privacy and security certifications does AI MindClip have?
AI MindClip has obtained privacy and information security certifications including EN18031, ISO 27001, and ISO 27701.
5. What should I do if I lose my AI MindClip?
If the app can still connect to the device, tap the device entry in the upper-left corner of the app and select “Find Device.” AI MindClip will play three high-frequency beeps to help you locate the nearby device. If the device cannot be connected, we recommend keeping the device bound to your account for the time being. A bound AI MindClip cannot be added or used by another account. The Type-C port is for charging only and does not support direct data export, reducing the risk of data leakage. “Find Device” only works when the device is within connection range. It does not support remote location tracking or map-based tracking.
6. If the device is lost, will readable data remain locally?
The device may temporarily store recordings that have not yet been transferred to the app. Recordings that have been successfully transferred are automatically deleted from the device. The device does not provide a data export port. The Type-C port is for charging only. Even if someone finds the device, they cannot add the bound device or directly export recordings through the port. Users can remotely log out, unbind, or clear device data. When the device is added again, all files will be automatically deleted, including local files that have not been uploaded to the cloud.
7. Can I delete my data at any time?
Yes. You can delete recordings, transcripts, summaries, and other related data in the app.
8. Can deleted data be recovered?
Currently, deleted data cannot be recovered. Please confirm carefully before deleting. Deletion rules: Files fewer than 20 can be deleted directly, including audio files, transcript files, and summary files. If there are more than 20 files, they will enter an asynchronous deletion process, and the system will process the deletion task on a scheduled basis.
9. Can I revoke a sharing link, change its access permissions, or encrypt it?
Currently, sharing links cannot be revoked, permission-modified, or encrypted. Sharing links are valid for 7 days.
10. When generating a sharing link, can I share only the summary without sharing the original recording?
Currently, this is not supported. We will continue improving sharing capabilities.
11. Will sensitive information such as name, contact details, or location be hidden before sharing?
The sharing link itself will not automatically disclose sensitive account information such as your name, contact details, or location. Please confirm whether the shared content contains information you do not wish to make public before sharing.
12. Will recording data be uploaded to public servers?
No. All data is stored in your personal cloud account and can only be accessed by you. When the account is deleted, personal cloud data can be fully removed. All data will not be used for any model training.
13. Which AWS server will recording data be transferred to? Is the server directly signed and managed by SwitchBot?
The specific AWS Region or storage region will depend on the actual deployment and the policy requirements of the user’s location. Cloud services are used by SwitchBot through formal service agreements, and SwitchBot is responsible for service configuration, access control, and data security management.
14. Are there cases where AWS servers managed by third-party contracts are used?
For external services, SwitchBot selects cloud services and service providers that meet security and compliance requirements, and limits their processing scope through contracts, access controls, and security measures. If third-party service providers participate in data processing, this will be managed in accordance with the privacy policy and applicable laws.
15. Can SwitchBot internal staff view users’ recording data?
SwitchBot does not allow internal staff to view users’ recording data at will. Only in necessary scenarios such as troubleshooting, customer support, or security compliance may authorized personnel process relevant data within the minimum required permission scope, subject to access control and audit requirements.
16. Can AWS, AI service providers, or other third parties access or view users’ recording data?
Cloud service providers such as AWS mainly provide infrastructure for data storage and transmission. AI service providers may process necessary data when providing features such as transcription and summarization. These third parties may not use the data for their own purposes and are bound by contracts and privacy policies.
17. Will recording data be used for service optimization or AI model training?
No. User recording data will not be used for advertising or for training third-party AI models. If data is used for service quality analysis or product optimization, explicit user consent will be obtained first. Such use will be based on voluntary user participation.
18. Will recording data be stored on servers?
Yes. To support cross-device viewing, playback, transcription, summarization, editing, export, sharing, and deletion features, recordings and related derivative content such as transcripts and summaries will be stored on cloud servers.
19. How long will recording data be stored?
During normal account use, related data will be retained until the user actively deletes it, or until 30 days after account deletion.
20. After users delete recording data, will related data stored on the server also be fully deleted?
After users delete recordings, the original audio files and related derivative data, such as transcripts, summaries, and to-dos, in the cloud online service will be synchronously deleted or invalidated. From the user side, the content will no longer be accessible. From an internal perspective, the data will be treated as non-recoverable.
